The Administrative Assistant is responsible for ensuring the smooth operation of Program Management oversight activities and providing high-level adherence to State requests in support to the Chief Operating Officer (COO).
The Administrative Assistant follows established procedures and guidelines to provide timely and effective secretarial support to an office, business unit, department, or other organization. Answers telephones, screens calls, and takes messages so callers/visitors are attended to promptly, courteously, and accurately. The Administrative Assistant performs varied activities and moderately complex administrative/operational/customer support assignments. Performs computations. Typically works on semi-routine assignments.
Key Responsibilities:
Manage incoming and outgoing mail and packages, and ensures they get reviewed for appropriate delegation to Member, Provider or Care Management teams.
Coordinate office maintenance requests and liaise with building management as needed.
Draft, proofread, and distribute communications on behalf of the COO.
Arrange complex travel plans and itineraries; prepare and process expense reports.
Track and help manage projects, deadlines, and deliverables assigned by the COO.
Maintain confidentiality and handle sensitive information with discretion.
Support the COO in special projects and cross-functional initiatives.
Prepare materials and coordinate logistics for board meetings and leadership team sessions.
Required Qualifications:
Proficient in Microsoft Outlook, Word, and PowerPoint
Ability to manage multiple or competing priorities
Strong attention to detail
Capacity to maintain confidentiality
Strong organizational skills
Must be passionate about contributing to an organization focused on continuously improving consumer experiences
Preferred Qualifications:
Associates or Bachelor's Degree
Proficient in Microsoft Excel and Access
Previous administrative or related experiences
Experience with internet research and proof-reading/editing
